Running a practice can often feel overwhelming, especially when it comes to balancing patient care with the business side of things. But what if there were tools that could help you streamline your operations, protect your time, and allow you to focus on what truly matters—providing excellent care? In my latest live session, I dove into this very topic, sharing some incredible tools that can make a real difference in your practice.
Embracing Automation Without the Overwhelm
My mission is to provide my community with practical tools and tips that make running a practice more efficient and joyful. Whether you're tech-savvy or just getting started with automation, these tools can help you streamline your operations, either with minimal staff or even without staff, allowing everyone to focus on their strengths.
The Power of a Chat Widget on Your Website
One of the simplest yet most effective tools you can implement is a chat widget. This little addition to your website can be a game-changer. Even if your site is a simple one-page setup, having a chat widget allows potential patients to reach out easily. Here's how it works:
  • Immediate Engagement: When someone visits your website, they can click on the chat widget, enter their details, and send you a message.
  • Centralized Communication: All these messages land in one place—your practice suite. This suite consolidates all your communication channels (text, email, social media, etc.) into one HIPAA-compliant platform.
  • Automated Responses: You can set up automated responses to these messages. For example, if someone sends a message through the chat widget, you can automatically send a text, email, or even a voice message back, keeping the conversation going and making sure no inquiry falls through the cracks.
Voicemail Message Funnel: Taking Calls to the Next Level​
The second tool I discussed is a voicemail message funnel, an innovation that turns your voicemail into a powerful engagement tool. Here's how it works:
  • Direct Calls to Action: When someone calls your practice, they hear a voicemail that directs them to the resources they need, without requiring your immediate involvement.
  • Automated Follow-Up: If the call isn’t answered, an automated text message is sent, acknowledging the call and offering further assistance via text. This not only saves time but also sets clear communication expectations with your patients.
The Impact of Automation on Your Practice
Imagine how these two tools—missed call text-back and a chat widget—could change the way your practice operates. If you have staff, these tools can protect their time, allowing them to focus on their core responsibilities. If you're running a practice solo, these tools can take some of the burden off your shoulders, giving you more time to do what you love. Incorporating automation into your practice doesn't have to be overwhelming.
